Central Mail Service Quotas
To distribute the available disk space for storage among all the people who have accounts on the CMS, quotas have been placed on the combined size of any one person’s folders. Quotas are set to 2 Gigabytes (GB) for all users.
Nearing Quota Warnings
When you are within 15 percent of your allotted quota space, you will receive a warning message. This message will continue to be delivered to you periodically, by an automated process, until:
- You go over quota, or
- You delete messages and/or move messages from your Inbox and folders/mailboxes to reduce your usage.
Note that your CMS email account will continue to work even when you are using more than 85 percent of your quota. But you are notified when you reach 85 percent of your storage capacity so that you will have sufficient time to reduce your usage before actually going over your quota.
If You Go Over Quota
As soon as you go over quota, you will receive a message letting you know. Once this happens, new incoming email messages will no longer be delivered to you. Instead:
- Incoming email messages addressed to you will be put into a queue, where they will be held for a maximum of 2 weeks.
- After 3 hours of non-delivery of a message, the sender of the message will be will be notified that their message to you have been queued, so they will be aware that it has not been delivered.
- In addition, if the attempted delivery of an email message would cause your Inbox to exceed 2 GB in size, the delivery of the message will fail and the sender of the message will receive a failed mail notice.
Should you remain over quota for 2 weeks, then the oldest of the queued messages addressed to you will be returned to the appropriate sender with a note that indicates that the message to you could not be delivered because your Inbox was full. This process of placing messages in a queue and later returning them to their senders as undeliverable will continue until you go back under your quota.
Checking Your Quota & Deleting Messages
You may check your CMS account to see if it is under quota by visiting the UVa Email Switchboard (choosing your CMS account if applicable), then logging in, clicking on the Settings tab, and then clicking Quota from the links on the left of the page.
Instructions for how to delete or move messages will vary with the particular mail client that you use to read your new messages. For assistance, please check the appropriate documentation for the client you are using, or contact the UVa Help Desk.
You may copy any messages you wish to keep onto some storage media (such as the hard disk of your own computer, a CD, or a USB thumb or flash drive) so that you are using less than 85 percent of your quota.
